What Belongs in an Event RFP
A guide for entities issuing an event tender who want comparable bids.
What exhausts award committees most is bids that arrive incomparable, because each bidder read the scope differently. The fix starts in the RFP.
State clearly: the date and venue (or the selection range), expected attendance and where that estimate comes from, what sits with the contractor and what stays with your entity, the evaluation criteria and their weightings, and a standard bill of quantities every bidder fills in with the same line items.
That last point — the standard BoQ — is the difference between bids you can compare in one meeting and bids that consume three weeks of clarifications.
